Privacy policy
How we collect, use and protect your personal information.
Last updated: 20 October 2026
This policy explains how Shirleys Field Community (“we”, “us”) collects and uses personal information when you visit this website or contact us. We are the data controller for this information. If you have any questions, email us at olly@shirleysfieldcommunityfarm.com.
Information we collect
- Enquiries: when you use our contact form or email us, we collect your name, email address, organisation and the content of your message.
- Technical data: our servers automatically record standard information such as IP address, browser type and the pages requested, to keep the website secure and working properly.
- Cookies: this website uses only the cookies needed for it to function. We do not use advertising or third-party tracking cookies.
How we use your information
- To reply to your enquiry and, where you ask us to, arrange a call or send a proposal (legitimate interests, or steps prior to entering a contract).
- To keep our website and systems secure and to diagnose technical problems (legitimate interests).
- To meet our legal and regulatory obligations (legal obligation).
We do not sell your personal information, and we will not add you to a marketing list without your consent.
Platform and customer data
Information that organisations store in our Seedbed platform, or that we process while delivering services, is handled under a separate written agreement with that organisation. In those cases the organisation is the data controller and we act as its processor, processing data only on its instructions. Customer data is never used to train shared AI models.
Who we share information with
We use carefully selected suppliers to host our website and systems and to send email. They process information only on our instructions and under appropriate contractual safeguards. Our hosting is located in the United Kingdom or the European Economic Area. We may also disclose information where required by law.
How long we keep information
We keep enquiry information for up to 24 months after our last contact, unless we enter into an agreement with you, in which case we keep records for as long as needed for that agreement and our legal obligations. Server logs are kept for a short period for security purposes.
Your rights
Under UK data protection law you have the right to access the personal information we hold about you, and to ask us to correct, delete or restrict it, or to object to how we use it. To make a request, email olly@shirleysfieldcommunityfarm.com. We will respond within one month.
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
